Do my contractors need to download an app?
No. They scan the QR sticker with any phone camera and a web page opens — they log the work right there. Nothing to install, no account to create.
How does ServiceProof know if a service was missed?
You upload each asset's maintenance contract once. ServiceProof reads the required cadence — monthly, quarterly, annual — a person confirms it, and the schedule is compared to the actual scan history, flagging anything overdue or coming due.
What equipment can I track?
Anything under a maintenance contract: elevators, boilers, fire panels, HVAC, plumbing, and general equipment. If it gets serviced on a schedule, it gets a sticker.
Is this a CMMS or work-order system?
No. ServiceProof isn't for managing your maintenance team's tickets — it's the building owner's or manager's record. It logs the contracted visits against each piece of equipment and flags what's missing. It sits above whatever tools your contractors already use.
Can a scan be faked?
A scan means someone submitted that sticker's code. The code is printed nowhere else, but like any printed code it can be photographed and reused, so treat scans as a strong record of visits, not proof of presence or workmanship. Ask contractors to add the optional photo when it matters.
What counts as a system for billing?
A system is one monitored unit you set up, and each one is $15 a month. Each elevator, boiler, or pressure vessel is its own system because each carries its own permit or inspection. Fire, plumbing, HVAC, and electrical are normally set up as one system per building, and anything else you track counts as one system. Every scan point under a system — each extinguisher, pull station, or roof unit — is included at no extra charge.
What about privacy?
We collect only what's needed to log a service, and we minimize personal data — uploaded contract PDFs are processed for extraction and not stored. We're built by a team that's spent years on privacy-sensitive condo software.
